Managing time effectively can be a struggle. Endless distractions compete for our attention, leading us to feel overwhelmed and stressed. And if we’re prone to procrastination, forget it! It can feel almost impossible to get things done. Bottom line, it can be hard to keep our attention where it needs to be when so many other things compete for it. As a result, many of us need to rely on effective time management strategies and skills to stay on track and boost productivity.

When we find options that work for us it can be a game-changer, because using time management strategies to improve our productivity helps us to stay focused on achieving our goals, and reduces our stress levels, too.

Time Management Strategies for Procrastinators

Distractions can be the enemy of time management, leading to lost time and reduced productivity. This is an especially difficult challenge for procrastinators. In addition to stealing our attention away from our priorities, distractions tend to raise our stress levels – which in turn makes it more difficult to concentrate.

So, the first priority time management strategy to deploy before beginning any activity is to identify any and all distractions that typically derail your work and attention, such as social media, emails, and phone calls.

Then eliminate them as much as possible.

For example, reduce notifications and set boundaries with others who may interrupt you. Move to a distraction-free work environment if you can. Put on noise cancelling headphones if possible. Minimizing distractions in any way possible will set the stage for focus and success.

Time Management Strategies: Identify Your Priorities

Effective time management begins with clearly identifying priorities.

List out your daily, weekly, and monthly goals, and identify what tasks are most critical to achieving them.

A schedule is an essential tool for effective time management. There are many potential approaches to managing your time and your calendar.

Many people find that blocking out time for each activity, including breaks and downtime, can help to ensure that a specific project or task gets done on time.

For longer term projects, it can help to block out the same time daily or weekly to focus efforts on that particular project.

Keeping time blocks like this on your calendar (think of them as meetings with yourself – you must show up, and you must participate) can be the key to moving ahead on complex projects or making progress towards longer term goals.

By creating a schedule, you can ensure that your time is being used productively and allocate time for essential tasks that may otherwise get lost in the shuffle.

Prioritize Self-Care

Reducing stress helps us to manage our time more effectively, and self-care helps us to reduce our stress levels.

So, self-care is important to our ability to manage time, improve productivity, and achieve our goals. An added bonus? Self-care helps improve our overall well-being, too.

Schedule downtime and breaks throughout the day, week, month to rest and rejuvenate.

Plan restorative activities before or after your workday, on the weekends, and schedule a true vacation or series of long weekends throughout the year to give yourself the break, rest, and perspective we all need to stay focused in the long haul.

Time Management Strategies: Set Realistic Goals

Setting realistic goals is essential for effective time management and stress reduction.

Be honest about the amount of time needed to complete a task and set realistic expectations for yourself.

This can help reduce the pressure and stress of unrealistic deadlines, leading to increased productivity.

Learn to Say No

Learning to say no is an important skill for effective time management and stress reduction, and it’s also essential to maintaining work-life balance.

Saying yes to every request can lead to overwhelming responsibilities or competing priorities and lost time.

It’s okay to prioritize your goals and turn down requests or opportunities that do not align with them. Or to delegate some tasks to others who may benefit from the experience.

This applies to all aspects of life – not just work.

For example, if a friend asks you to go out to dinner – but the invite conflicts with your commitment to yourself to go to the gym – it’s okay to say no. Or ask your friend to meet up for a walk or dine at another location that offers healthy options – on a different day when you are free. We don’t always have to say yes – our true friends will love us anyway!
